Privacy Policy

This Privacy Policy explains what personal data Pricing Sheets (“we,” “us,” or “our”) collects when you use our interactive proposal and quoting platform (the “Service”), how we use it, who we share it with, and the choices and rights you have.
1. Data we collect
We collect the following categories of data:
- Account information — your name, email address, password (stored only as a secure hash), workspace name, role, and team-membership details.
- Proposal content — the proposals, pricing tables, line items, branding, and recipient details you create or upload, along with the documents we render for your buyers.
- Buyer engagement telemetry — when a buyer opens, views, accepts, declines, or signs a proposal you sent, we record engagement events (such as view and acceptance timestamps) so you can see how your proposals perform.
- Payment information — handled by our third-party payment processors. We receive limited billing metadata (such as plan, status, and the last four digits of a card); we do not store full card numbers.
- Usage and device data — log data such as IP address, browser type, pages accessed, and timestamps, used to operate and secure the Service.
2. How we use your data
We use personal data to:
- provide, maintain, and improve the Service;
- create and render proposals and deliver buyer engagement insights to your workspace;
- authenticate users and secure accounts and workspaces;
- process payments and manage subscriptions;
- communicate with you about your account, security, and changes to the Service;
- detect, investigate, and prevent fraud, abuse, and security incidents; and
- comply with legal obligations and enforce our Terms.
We process this data to perform our contract with you, to pursue our legitimate interests in operating and securing the Service, with your consent where required, and to meet legal obligations.
3. Sharing and sub-processors
We do not sell your personal data. We share it only with service providers (“sub-processors”) who help us run the Service under appropriate confidentiality and data-protection obligations, including:
- cloud hosting and database infrastructure providers;
- payment processors (for billing and subscription management);
- email and transactional-messaging providers;
- authentication and sign-in providers;
- analytics and error-monitoring providers.
We may also disclose data when required by law, to protect our rights or users’ safety, or in connection with a merger, acquisition, or sale of assets (with notice where required).
4. Data retention
We keep personal data only as long as needed to provide the Service and for the legitimate and legal purposes described in this policy. Audit and engagement records may be retained for a longer, defined period to support security, integrity, and compliance. Details of how long each category is kept are set out in our Data Retention Policy.

5. Security
We use technical and organizational measures designed to protect personal data, including encryption in transit, hashed passwords, role-based access controls, tenant data isolation, and append-only audit logging for sensitive actions. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
6. Your rights and choices
Depending on your location, you may have rights to access, correct, export, restrict, or delete your personal data, and to object to certain processing. To exercise these rights:
- Access and update — most account and workspace data can be viewed and edited directly in the app’s settings.
- Erasure — you can delete your account from the app at any time. Doing so removes your user record and memberships (via our account-deletion request, which invokes
DELETE /v1/me); any workspace left without a remaining owner is deleted along with its data. - Workspace deletion — a workspace owner can delete the entire workspace and all of its data from settings.
You can also email us to exercise any of these rights. We may need to verify your identity first. Some records may be retained where we have a legal basis to keep them (for example, audit or billing records).
8. Note for proposal recipients (buyers)
If you received a proposal made with Pricing Sheets, the business that sent it is the controller of your information for that proposal. We process the proposal and related engagement data on their behalf. Please contact the sending business directly for requests about that data.
9. International transfers
We may process and store data in countries other than your own. Where we transfer personal data across borders, we use appropriate safeguards as required by applicable law.
10. Children’s privacy
The Service is not directed to children, and we do not knowingly collect personal data from anyone under the age required to consent in their jurisdiction. If you believe a child has provided us data, please contact us so we can remove it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will take reasonable steps to notify you and will update the “last updated” date above.
